Basic Archiving Overview

A:

Intermedia offers two types of archiving services:

  1. Basic archiving (Message Mirror): allows you to backup all messages sent/received by exchange users. The user with certain access permissions can always access archive mailbox to view/delete messages from the archive. This article provides an overview of Basic Archiving service on Exchange 2003 plans. If you are on Exchange 2007 plan, please refer to the article Message Mirror in Exchange 2007
  2. Compliant archiving: this service allows you to archive all messages in accordance with legal documents listed below. If you subscribe to Compliant Archiving you sign the agreement with an archiving provider. Only archiving provider will have access to archive mailbox. 
    Compliant Archiving Overview

Basic archiving permits you to archive all incoming and outgoing messages of all account users. Once this option is selected, messages will be saved to an Archive mailbox according to the sorting method, retention policy, and other parameters that you specify in HostPilot. The Archive mailbox will be added as part of the aggregate disk space included with each account.

Once message archiving is enabled in HostPilot > Email Compliance > Message Archiving, you will be able to manage the following settings:

1. Sorting method. You may sort messages by email address or by day. Depending on this setting the folder structure of the Archive mailbox will change.

2. Content retention. This setting will allow you to control the amount of space occupied by archive folder. You may specify whether messages from the archive should be deleted automatically or never deleted.
My Basic Archiving mailbox occupies too much disk space. What do I do?

3. Message view. Envelope Journaling captures not only the body of the message but also the To and From addresses, as well as any addresses that may have been sent BCC.

To view the archive folder the user must have permissions to access the folder. You can grant permission in HostPilot > Email Compliance > Message Archiving. You may grant access permissions to users by selecting the ADDRESS BOOK button in the Read-Only Access Permissions section.

Once you made any changes to archive folder settings and permissions, click Save Changes button and then Ok.

The user with read-only access can view archived messages using email client.

Outlook users, please follow instructions in the Knowledge Base article #718 to add a mailbox.

If you are Mac user, please use the following steps to view archive mailbox in Entourage:

  • Go to Tools > Accounts
  • Click the Exchange tab on the right.
  • Select your Exchange account then pick Edit or double-click its name.
  • Click the Delegate tab
  • Hit Add button under "Users I am a delegate for"
  • Type in find section the name of the archive mailbox and hit OK.

The name of the archive mailbox is "accountname_arch". Please substitute "accountname" with the name of Intermedia Exchange account.
