In order to avoid the situation when archiving mailbox occupies too much disk space on your Exchange 2003 account, you can set the content retention period of the mailbox archive and make archive backups on the regular basis.
To set the content retention settings of the mailbox archive:
- Navigate to the HostPilot > MS Exchange Server 2003 > Email Compliance > Message Archiving
- Choose option "Allow auto-deletion of messages in archive folder" in the Content Retention field
- Set the number of days you would like to keep your archive data.
To backup your archive mailbox:
- Navigate to the HostPilot > MS Exchange Server 2003 > Email Compliance > Message Archiving
- Grant Read-Only permissions to users who will perform a regular backup in the Read-Only Access Permissions filed.
- Now the user with Read-Only access can open archive mailbox as an additional mailbox in his or her Outlook/Entourage profile.
How to add other person's mailbox to your Exchange Outlook profile? If you are Mac user, please use the following steps to view archive mailbox in Entourage:
- Go to Tools > Accounts
- Click the Exchange tab on the right.
- Select your Exchange account then pick Edit or double-click its name.
- Click the Delegate tab
- Hit Add button under "Users I am a delegate for"
- Type in find section the name of the archive mailbox and hit OK.
The name of the archive mailbox is "AccountName_arch", where AccountName is the name of your exchange account with Intermedia.
