How To Move A User From POP/IMAP Mailbox To Exchange/Exchange to POP/IMAP


This article describes the process of moving user data, like emails, from a POP/IMAP mailbox to an Exchange mailbox and also moving user data from an Exchange maibox to a POP/IMAP mailbox within one organization.

From POP/IMAP to Exchange
From Exchange to POP/IMAP

Important: All of your users, both Exchange and POP/IMAP type, are assigned an x500 Exchange address by design which is used for internal delivery by Exchange servers. User's x500 address is associated with an Active Directory object, not an email address. When you delete a user their x500 address is deleted with the AD object.
However, x500 addresses can remain associated with email addresses in your Outlook and Webmail cache. If you receive a non-delivery report after the conversion use the following solutions:

  • Remove the email address from the To field and type it manually when replying to an email.
  • Delete the cached entry in your Outlook and re-create it for a new user. Read the Knowledge Base article on How To Reset The Outlook Nickname Autocompletion Cache for more information.
  • Provide your Technical Support team with the bounce-back text to add an old x500 address to a new user AD object. 

From POP/IMAP to Exchange

  1. You first need to export the data from a POP/IMAP mailbox. Read the Knowledge Base article on How Do I Configure Outlook 2007/2010 To Connect To A POP/IMAP Mailbox? 
    • If you have the mailbox profile configured in Outlook you can find the PST file.
      • Outlook 2007: Go to Tools > Account Settings and open the Data Files tab. Double-click the data file for the POP/IMAP mailbox and note its location.
      • Outlook 2003: Right-click the root folder that contains all data sent and received from your POP/IMAP mailbox. On the General tab, click Advanced and note the file location in the Filename field.
      • Outlook 2010: Navigate to File > Account Settings > Data Files tab, select the PST and click Open File Location to open the folder.
    • Export all the data from Outlook to a PST file. Read the Knowledge Base article on How To Export Data In Outlook.
  2. Log in to HostPilotĀ® Control Panel and navigate to Users > POP/IMAP Mailboxes.
  3. Clear (deselect) the checkbox next to the POP/IMAP user you want to move to Exchange and click Proceed:
  4. Navigate to the Exchange tab and select Display all users:

  5. Find the user and select the checkbox for Exchange next to their name and click Proceed:

  6. You need to import the data to the new Exchange Mailbox.

From Exchange to POP/IMAP

  1. Export all the data from the Exchange mailbox:
    • Create a mailbox backup in Outlook backup in HostPilot and download the file to the machine. Read the Knowledge Base article on Overview Of Outlook Backup.
    • Export the data from the profile configured in Outlook. Read the Knowledge base article on How To Export Data In Outlook.
  2. Log in to HostPilot and navigate to Users > Exchange.
  3. Deselect the checkbox next to the user's name under Exchange Mailbox and click Proceed:
  4. Move to the tab POP/IMAP Mailboxes, select Dispay all users and enable POP/IMAP mailbox by checking the box, then click Proceed:
  5. Configure Outlook profile for the new POP/IMAP mailbox. Read the Knowledge Base article on How Do I Configure Outlook 2007/2010 To Connect To A POP/IMAP Mailbox?
  6. Import the data from PST to the new profile on the user's computer. Read the Knowledge Base article on How To Import Data To Outlook.
